These Terms and Conditions ("Agreement") govern the booking and participation in all domestic U.S. Reading Retreats ("Retreat") hosted by Silent Book Club LLC ("SBC"). International retreats hosted in partnership with TrovaTrip are governed by separate booking terms. By paying your deposit to book a Retreat, you ("Participant") acknowledge that you have read, understood, and agree to be bound by these terms.
1. Booking and Payment
1.1 Age Requirement
Participants must be 21 years of age or older to attend the Retreat.
1.2 Confirmation
Your registration is confirmed once a non-refundable deposit of 50% of the total Retreat fee is received by Silent Book Club.
1.3 Final Payment
The remaining balance of the Retreat fee must be received by the Balance Due Date, typically 60 days prior to the Retreat start date (as specified on the booking page). Failure to submit the final payment by this date may result in the forfeiture of your deposit and cancellation of your booking without refund.
1.4 Inclusions & Exclusions
Unless specified otherwise in writing by SBC, the price of your Retreat booking includes:
- All accommodations as listed on the booking page
- Local transportation to activities as listed on the booking page
- Activities listed on the booking page
- Meals listed on the booking page
Otherwise, the price of your booking does not include any other services or products, and excludes without limitation, the following:
- International or internal flights
- Airport transfers
- Taxes and excess baggage charges
- Meals and Beverages other than those listed on the booking page
- Visa and passport fees
- Travel insurance
- All personal expenses
- Tips and gratuities
2. Cancellations and Refunds
2.1 Cancellation by Participant
All cancellation requests must be made in writing via email to hello@silentbook.club. The 50% deposit is non-refundable under all circumstances. You may transfer your booking to another eligible participant. The following refund policy applies based on the date the written cancellation is received:

60 days or more before the Retreat start date: Full refund of any payment made beyond the 50% deposit paid at the time of booking.

Less than 60 days before the Retreat start date: All payments are non-refundable. You may transfer your booking to another eligible participant.
Note: No refunds or credits will be issued for arriving late, leaving a Retreat early, or for non-attendance.
2.2 Finding a Replacement
If you must cancel within the non-refundable period, you may transfer your booking to another eligible person found by you, provided you notify SBC in writing at least 7 days prior to the Retreat start date, and the replacement Participant agrees to these Terms and Conditions.
2.3 Travel Insurance (Mandatory)
Purchasing comprehensive travel insurance is mandatory for all retreats. The policy should cover cancellation for any reason, medical emergencies, emergency evacuation, and personal property loss. SBC is not liable for any costs incurred due to failure to purchase adequate insurance.
2.4 Retreat Cancellation or Changes by SBC
SBC reserves the right to cancel or reschedule any Retreat for any reason, including low registration, staffing issues, or circumstances beyond our control (Force Majeure, see Section 3).

If the Retreat is cancelled by SBC, Participants will be offered a choice of:
- A full refund of all monies paid to SBC.
- Transferring the full payment to a future SBC Retreat, subject to availability.

SBC is not responsible for any incidental expenses or consequential losses incurred by the Participant as a result of the cancellation, such as non-refundable flights, accommodation outside the Retreat, or other travel costs.
3. Force Majeure
SBC assumes no liability for any loss, damage, delay, or cancellation resulting in whole or in part from an Act of God or any other force majeure condition, including, without limitation: fire, natural disasters, epidemics, pandemics, government travel restrictions or advisories, war, civil unrest, or acts of terrorism. In circumstances of Force Majeure, SBC is not obligated to provide a refund, although any recovered monies from suppliers will be refunded to Participants.
4. Participant Responsibility and Conduct
4.1 Personal Safety and Travel
Participants are responsible for their own transportation to and from the Retreat location, including airfare and local transfers unless explicitly included in Retreat activities. Participants assume all risks associated with travel and participation in Retreat activities (e.g., hiking, yoga, swimming, use of hot tubs).
4.2 Medical and Dietary Information
Participants must inform the organizers of any medical conditions, allergies, or dietary restrictions at the time of booking. While SBC will make reasonable efforts to accommodate special requests, no guarantee is provided against cross-contamination or the availability of all requests due to location limitations.
4.3 Behavioral Expectations and Removal
Participants are expected to uphold a standard of respectful and non-disruptive behavior toward fellow Participants, staff, and the Retreat venue. SBC reserves the right to remove any Participant from the Retreat immediately, without refund, for behavior that is disruptive, disrespectful, threatening, illegal, or unsafe, including but not limited to the breach of this code of conduct.
4.4 Alcohol Consumption
Alcohol consumption is voluntary and at the Participant's sole discretion and risk. Participants must be 21 or older and agree to drink responsibly. SBC assumes no responsibility for the actions of Participants under the influence of alcohol, including injury, illness, or damage to property.
4.5 Property Damage
Any damage to the Retreat property caused by a Participant will be the financial responsibility of the individual(s) involved.
5. Liability Waiver and Release
By attending the Retreat, the Participant voluntarily assumes all risks associated with the Retreat, including but not limited to physical injury, property loss, illness, or accidents. The Participant agrees to release, waive, and hold harmless Silent Book Club, its owners, employees, agents, contractors, and affiliates from any and all liability, claims, demands, or damages, known or unknown, arising out of or related to their participation, except in cases of proven gross negligence by SBC.
6. Photography and Media
The Participant consents to the use of their likeness in photographs, videos, or promotional materials taken by SBC staff during the Retreat for marketing and promotional purposes. If a Participant wishes to opt out of media use, they must notify SBC in writing prior to the Retreat start date.
7. Governing Law and Updates
This Agreement shall be governed by and construed in accordance with the laws of the State of Colorado, without regard to conflict of law principles. SBC reserves the right to update or alter these Terms and Conditions at any time. The current version will always be available on the SBC website.
